1. The Paperless Office.
All your clients’ files / documents are loaded into the Paperless Office data base.
Each client has a Client No, a Job No and as many description as you may wish to load into the system eg. Quotations, Invoices, paid accounts etc. or even a reminder description…say... Car, Morris Minor.
To find a document …type into the search box … (example) Sydney Rates account
The database will find and show on the screen all the rates account for all your clients or only the client you want to see.
Select and click on the document to view and it will open in an instant.
All “$” amounts shown on a document is captured in a separate column so it can be added together giving the full costing for any client, sub contractor or project at any time.
It also has a “to do lists”, a note you have made for each job you are working on, which reminds you of things to do and actions to be taken.
The reminder lists open each time you start the program, or when making a note or viewing the “to do list” (a very useful tool).

As above all your clients’ files / documents are scanned and loaded into the data base.
Including all contractors and approved sub contractors quotations making up the full project cost.
All the various trades are loaded with their own costs codes set by your company. These cost codes will assist you at a later stage when putting other estimated quotations together.
This database monitors all the Building / Construction / Project costs against original quotations including the many added variations over time on a project.
All completed works that have been invoices (outgoing payments) are scanned into the system, they are measured as a % of the total output of each trades approval, including any retentions to be held within the parameters of the agreement, giving you the “$” value payments against the approval and showing % spent to date and the % held for payouts.
To view any documents … quotations… invoices … type into the search field and click on the contractor or sub-contractor document you wish to view … it will open in an instant.
Database software is far more accurate than a spreadsheet.
Spreadsheets can have incorrect formulas gone un-noticed, projecting incorrect project costs.

3. Warehouse Storage and Document Storage.
As above all your client’s information is loaded into Storage Warehouse data base.
All stock items or storage items, - example - Car Parts or files packed into archive boxes, are barcoded into the system.
The database will provide a storage position in the warehouse or on the storage racks depending on what the stored items require.
When looking for an item (car part) or a client’s file that is packed into an archive storage box, the storage database will pinpoint the exact position of the car part or archive box you are looking for.
The software issues a tracking pick slip for each item requested, it also includes the delivery destination slip for signature.

4. Food lover (find that recipt).
File all your recipes in one place: load or scan into the database the recipes including some of the ingredents
or any reminder to help you find a specific recipe.
When searching for a meal you would like to present for lunch or dinner and you can’t remember the name of the recipe ... type into the search box one or two of the ingredient that you want to use, many of your recipes that have been loaded into the software will be displayed showing the ingredient in them.
Choose the one you want .... CLICK to open.
You can print it or email to a friend.
